Greek Consultant Visits

Inter/National Office Representatives are an important link between Drury University and the Greek Chapter’s National Office. Because of this important partnership, Drury University Greek Life staff maintains these standards to ensure a smooth, successful visit for any Inter/National Office Representative that visits our campus. 

Before the Campus Visit – Consultant

Inter/National Office Representative should be in contact with the Greek Life Staff, traditionally the Greek Advisor, before their campus visit to ensure they have the necessary information for a successful campus visit. It is recommended that these items are completed by the Inter/National Office Representative before the Drury University campus visit:

  • Contact Greek Advisor to set up meeting with appropriate Greek Life Staff
  • Confirm mode of transportation with Greek Life Staff, to allow them to request a Drury University Temporary Guest Parking Pass if bringing vehicle to campus
  • Confirm dates of visit and need for a University Guest Card for access to the House/Suite
  • Inform Greek Advisor of any other special requests needed for campus visit
  • Confirm with Greek Advisor if meetings with the Campus Faculty/Staff Advisor, Chapter Advisor or a Campus office need to be coordinated by Greek Life Staff.
  • Read the “Welcome Email” from the Greek Life staff before visit to campus
  • Complete Consultant Form in advance and provide to Greek Life staff during meeting

During the Visit - Consultant

Greek Life Staff, traditionally the Greek Advisor, will meet with the visiting representative during each visit to campus. By meeting with the Greek Life Staff, the visiting representative can view a more complete picture of the state of the chapter. During the meeting, the Greek Life Staff and visiting representative will discuss important information including:

  • Objectives, Goals & Action Plan for Visit
  • Greek community Overview
  • Semester Membership Report for each Greek chapter
  • Chapter Overview & General Impressions
  • Academic Review including GPA & Academic Reports and Chapter Member Individual GPA semester spreadsheet
  • Awards & Standards Updates
  • Membership Recruitment & Retention Goals & Strategies
  • Safe Living & Risk Management
  • Forms Needed & Resources Available
  • Next Inter/National Representative Visit
  • Share Contact Information

Follow-up from Campus Visit - Consultant

Greek Life Staff, traditionally the Greek Advisor, will receive the follow-up report via email from the visiting representative after each visit to campus. By giving this information to the Greek Life Staff, the visiting representative provides another resource for implementation and completion of the chapter action plan. The follow-up report should include, but is not limited to:

  • Chapter Successes & Opportunities Overview
  • Chapter Goals & Action Plan
  • Inter/National Office Standards Report
  • Officer Action Plan

Before the Campus Visit - Chapter

  • Make sure to inform the entire chapter of the upcoming visit at least one week in advance
  • Schedule meeting times for all mandatory officers in advance
    • Make sure each officer has all the materials necessary for their position
    • Include meal times when scheduling
    • Try to schedule the meetings as close together as possible so the consultant does not have to wait
    • If possible, try to include campus events to show the lifestyle of Drury
  • Make sure the advisor has a clean/quiet place to stay with all necessary amenities
    • Make the consultant feel at home as much as possible as they travel for months at a time
  • Set goals with the chapter of what is to be accomplished during the visit

Have these Materials Ready/Completed Upon Arrival - Chapter

  • Current Roster of all Officers and Committee Chairs with telephone numbers
  • Current Chapter Policies
    • Constitution
    • Bylaws
    • Member Standards Policy
    • Chapter Code of Conduct
    • Chapter’s Scholastic Policy
    • Chapter’s Education Program (Both Continuing and New Member)
    • Most recent Rush Plans and future Rush Plans
  • Financial Reports including budgets, bank statements, and members in bad standing
  • Ritual materials
  • Chapter Minutes from current year

Arrival Chapter

  • Always greet the Consultant when they come into town with a smile and a firm handshake. Help them with their luggage and allow time for him/her to settle in.
    • If the Consultant is arriving by plane, make sure a member is at the airport when he/she arrives so they do not have to pay for a cab. Meet them at the baggage claim and identify yourself as a chapter member by wearing your letters.

During the Visit - Chapter

  • Give the Consultant a tour of the house (if applicable) and the campus. Show where all scheduled officer meetings will be held and where members will be during breakfast, lunch, and dinner. Make the Consultant feel as comfortable with the campus as possible.
  • Hold all scheduled meetings with officers, committees, advisors, etc. as planned
    • President should always meet first
    • Have someone escort the Consultant to all meeting locations
  • Make sure there is a planned ritual during the visit
    • Dress in pin attire
