2009-2010 Housing Sign-Up Information

Applying for Campus Housing: Returning Students

For upperclassmen housing sign-ups, students choose their own roommates and sign up as a group. First preference will be given to those students currently living in a residence who wish to continue their residency there and meet the Residency Continuation requirements (see below). Following Residency Continuation, placement is granted based on each group’s cumulative credit hours (or on each individual’s credit hours for 1-person apartments). Hours for fall residents only will be used to determine total cumulative hours. Individuals or groups needing help in locating roommates should talk to the Housing Office in advance.

All full-time day students are required to live on campus unless married or living at home with parent(s)/legal guardian(s). Complete a Housing Exemption form if want to apply to move off campus. Students who do not receive written permission to exempt from the Housing Policy are expected to complete a housing contract and live on campus.
Returning students will not be able to register for the 2009-2010 school year if they do not turn in a Housing Contract or receive written permission to exempt out of the University Housing Policy.

Fraternity Housing: Fraternity contracts are due to the Housing Office or to their House Director by Friday, February 27 at 5 p.m. Each fraternity has its own process for room assignments, and all require fraternity members to live in the houses. Please contact your fraternity president for information about assignments, living elsewhere on campus, or exempting off campus. Students who do not live in fraternity housing for the specified amount of time may be subject to additional fees that are assessed by the fraternity.

Summit Park Leadership Community: This community requires students to participate in year-long service projects, and involves a group application and presentation. Visit the Summit Park web page for information. Group applications and housing contracts are due to the Housing Office by February 27 at 5 p.m.

Residency Continuation: In order for students to keep their current apartment or house for another year, more than 50% of the current residents must renew their contracts and the remaining vacancy must be filled by students of the returning tenants’ choosing by Friday, February 27 at 5 p.m. Students in Sunderland Hall are not eligible for residency continuation, because the building is reserved for freshmen Living Learning Communities. Students residing in wheelchair-accessible apartments are not eligible for residency continuation, unless those students are residing with a student who requires accessible housing. Students in South Jefferson may not apply for residency continuation due to a new academic program being housed there in the fall of 2009.

Applying for Apartments

Students should fill out a Q-Sheet according to the type of residence they wish to occupy. Q-Sheets are available according to the following categories:

1-person apartments
2-person apartments
3-person houses & apartments
4-person houses
4-person apartments

Each student in the group needs to complete his/her section of the Q-Sheet, including credit hours. Only completed hours may count towards group total. Students should not include hours for which they are currently enrolled. All hours will be verified prior to sign-up night.

Q- Sheets are due to the Housing Office by the date advertised (studios, houses, 3-person cottages, and Jefferson Park Q-sheets are due to Housing by Friday, March 6 at 5 p.m. 4-bedroom College Park apartment Q-sheets are due by Friday, March 13 by 5 p.m.). Completing and submitting a Q-Sheet does not guarantee students’ placement in their desired residence. All Q-Sheets will be reviewed by the Housing Office and compiled into Q-Lists (queue lists). The Q-Lists will allow students to see the order of groups (based on total credit hours) for sign-up night, according to each housing category. A Q-List for each housing category will be posted outside the Housing Office for students to review prior to sign-up.

Students must attend the sign-up sessions in the FSC Ballroom according to the sign-up schedule. Each student should come with completed Housing Contracts for the housing sections they want to be considered for (i.e. College Park, Jefferson Park, etc.). Students who are unable to attend the sign-up sessions with their group due to a school requirement should turn in properly completed Housing Contracts to the Housing Office BEFORE sign-up night. A group will not be able to select housing on sign-up night if they are missing a roommate and the Housing Office does not have a contract for that student on file. Blank contracts are available on the Residential Life website. All contracts will be reviewed by a member of the Residential Life staff at sign-ups to ensure proper completion.

At sign-up night, a large campus map will be posted and students will be able to see which units are available. Groups will be called in order (from the Q-Lists based on the group’s completed credit hours) to select their housing assignment and submit their contracts. Students will also select bedroom assignments at that time. As units are selected, they will be marked off the map. The Housing Office does not know how many units will be available for the upcoming academic year until after the Residency Continuation contract deadline. A large number of groups will NOT make it into apartment-style housing, especially groups comprised of current freshmen because the apartments are given away based on completed credit hours. Many sophomores will reside in Smith and Wallace Halls for the 2009-2010 academic year.

If a student does not get into apartment-style housing, they must come to the Housing Office during business hours prior to departing for Spring Break to fill out a Returning Student Residence Hall Contract and indicate roommate and residence hall preference. A student who does not have either a signed housing contract on file or an approved exemption form prior to Spring Break will not be able to register for the fall of 2009. Any student who does not get into apartment-style housing as hoped automatically goes on the apartment/Sunderland wait list. Depending on the size of the freshmen Living Learning Communities, we may have limited space in Sunderland for students on the wait list. Apartments will also have openings during the summer as we discover students who transfer. The wait list is also based on completed credit hours.

All housing contracts are for the entire academic year. Exceptions to allow single-semester contracts will be made for academic reasons only (December graduation, study abroad, etc.) and must be arranged via the Housing Exemption process. Any group that includes a person who is requesting a single-semester contract should work to find an alternate person for the open semester and submit his/her information on the Q-Sheet. If the group does not select an alternate, the Housing Office reserves the right to fill the space at any time. Groups signing up for Midtown houses or the College Park houses may have fall-only or spring-only tenants, as long as alternates are declared on the Q-sheet and those alternates’ contracts are filed at sign-up night. Jefferson Park residents must reside on campus beginning May 31, 2009 through closing in May 2010. Jefferson Park residents must pay summer housing fees, in addition to fall and spring room and board fees
